Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client’s time zone.   Our client is a growing U.S.-based insurance agency focused on building a more efficient and scalable internal operating environment. The company is developing an internal platform that will centralize employee resources, task management, operational workflows, and reporting while using AI and automation to improve how work is organized, assigned, completed, and measured. ROLE OVERVIEW The AI Automation Specialist will be responsible for building, maintaining, and continuously improving the company's internal operating platform using AI-assisted development tools, automation platforms, APIs, and backend technologies. This is a hands-on implementation role focused on turning business requirements into practical internal tools, including an employee portal, searchable knowledge base, task-management system, role-based dashboards, and operational reporting. The AI Automation Specialist will configure integrations, automate workflows, manage backend data, test and deploy solutions, and ensure appropriate security and access controls are incorporated throughout the platform. This is not a traditional full-stack engineering role requiring a complete application to be coded from scratch. The ideal candidate is comfortable using AI-assisted development and low/no-code tools to build reliable solutions while knowing when more complex architecture or security decisions require senior engineering support. LOCATION Fully Remote | Monday to Friday and within 9:00 AM -5:00 PM PST (20 hours a week) KEY RESPONSIBILITIES INTERNAL TOOLS & PLATFORM DEVELOPMENT - Build and maintain internal web tools using AI-assisted development platforms such as Claude, Cursor, Replit, or similar solutions. - Develop an employee portal that centralizes handbooks, SOPs, reference materials, and searchable company documentation. - Build task-management functionality that allows employees to view, assign, manage, and complete operational work. - Develop role-based dashboards that provide employees and leadership with relevant operational information. - Continuously improve internal tools as business requirements and workflows evolve. WORKFLOW AUTOMATION - Build automated workflows using platforms such as Make, Zapier, n8n, or similar tools. - Create workflows that convert incoming customer emails into trackable and assignable tasks. - Automate task creation, assignment, prioritization, status tracking, and follow-up identification. - Identify repetitive operational processes that can be streamlined through automation. - Maintain and optimize existing automations to improve reliability and efficiency. SYSTEMS & API INTEGRATIONS - Connect email, telephony, policy and agency data, reporting sources, and other business systems through APIs and integrations. - Create reliable data flows between existing business platforms and the company's internal operating system. - Troubleshoot integration issues and maintain accurate data synchronization between platforms. - Support integrations with agency systems and tools as the internal platform expands. DATA, REPORTING & ANALYTICS - Build dashboards that provide actionable visibility into operational performance. - Develop reporting for metrics such as call activity, task throughput, response times, completion times, and individual productivity. - Configure repeatable AI-powered processes that ingest reports and return consistent, structured outputs based on established prompts and specifications. - Help centralize operational data so leadership and employees have reliable information for decision-making. BACKEND & DATABASE MANAGEMENT - Configure and maintain backend services using Supabase or similar platforms. - Design data models that support internal tools, workflows, dashboards, and integrations. - Maintain organized and reliable records across the platform. - Configure authentication, permissions, and appropriate access controls for different users and roles. SECURITY & ACCESS MANAGEMENT - Implement secure authentication and role-based access across internal tools. - Apply appropriate security practices when handling employee and customer information. - Identify potential security or data-handling risks and escalate issues requiring senior technical review. - Maintain appropriate access controls as users, roles, and platform capabilities evolve. TESTING, DEPLOYMENT & MAINTENANCE - Test internal tools, workflows, integrations, and dashboards before deployment. - Identify and resolve functional issues, workflow failures, and data inconsistencies. - Deploy new functionality and maintain existing systems as requirements evolve. - Continuously improve platform reliability, usability, and operational effectiveness. QUALIFICATIONS EXPERIENCE - Proven experience building internal web tools, applications, dashboards, or operational systems using AI-assisted development tools. - Hands-on experience building and maintaining business automations and integrated workflows. - Experience connecting business systems through APIs and managing data between multiple platforms. - Experience configuring backend services, databases, authentication, and access controls. - A portfolio or concrete examples of previously built tools, dashboards, applications, or automation systems is required. SKILLS - Able to use AI-assisted development tools such as Claude, Cursor, Replit, or comparable platforms to translate requirements into functional internal tools and applications. - Comfortable building business automations with Make, Zapier, n8n, or similar workflow automation platforms. - Able to configure
